Every school that takes cash has a drawer, and most of them cannot reconcile it to the day. The gap is rarely theft. It is a receipt nobody wrote, a parent who paid part of a fee to whoever was at the desk, a taxi reimbursed from the till.
The result is the same as theft for accounting purposes: you do not know what you collected.
Why it matters more than the amount
The direct loss is usually modest. The real costs are elsewhere:
- You cannot trust your revenue figure, so every decision built on it is built on sand.
- A family's payment history has holes, which turns one awkward conversation into a lasting dispute.
- An honest staff member has no way to prove they were honest. That is the part owners underestimate, and it is the argument that gets staff on side.
Four practices that close most of it
One person per shift owns the drawer. Named, on a rota. Two people with access and nobody responsible is the most common arrangement and the worst one.
Every payment gets a receipt, including partial ones. Especially partial ones - a parent paying half now and half later is where records break, and it is the most common case.
Count and record at open and close. Two minutes. Written down, signed. The habit matters more than the arithmetic; a discrepancy found the same day is a memory, a discrepancy found at month end is an investigation.
Petty cash is a separate float with receipts. Never the same drawer as tuition. Taking a reimbursement out of tuition income is how the day stops reconciling.
Then reduce how much cash you take at all
The most effective control is having less cash. Bank transfer with a QR code on the invoice removes the drawer from most transactions and gives you a timestamped record neither side can dispute.
In markets where cash is normal you will not eliminate it, and should not try. But moving even half of collections to transfer halves the surface area.
The safest cash procedure is the one that applies to the smallest amount of cash.
Frame it as protection, not suspicion
Staff resent controls introduced as a response to missing money. The same controls introduced as "so nobody can ever be blamed" get adopted willingly - and that framing is also true, which is why it works.
The invoices and payments guide covers recording payments and generating receipts, including QR payment codes.
